Position Overview:

The main purpose of this role is to support the Heads of Department in recruitment of freelance and temporary roles across the project delivery disciplines. These include: 

  • Event Production and Project Management
  • Production and Technical Management
  • Digital Production and Digital Project Management

We are a fast growing business working with a wide variety of clients across different industry sectors. A broad understanding of the event delivery process and the key skills required by different team members across different delivery sectors is essential to effectively research, vet, onboard and brief freelance staff.

This role will involve detailed integration with HoDs and senior team members utilising existing agency networks, however an existing network of potential candidates across the industry would be a considerable advantage.

Key Responsibilities and Accountabilities:

  • build and maintain a freelancer database of approved freelancers
  • support the search for suitable freelancers by liaising with candidates directly (e.g. availability, relevant experience, day-rates etc.)
  • Assess experience and skill sets of candidates to understand viability within different areas of the business. E.g experience in exhibition builds vs green field infrastructure
  • help to maintain good relationships with freelancers
  • develop job descriptions/role overviews
  • prepare and post job ads online
  • assist in arranging interviews, co-ordinating with relevant HoDs
  • support onboarding process with existing team
  • assist in arranging induction process, co-ordinating with relevant departments
  • maintain relevant spreadsheets and other database records
  • provide support to freelancers with minor questions (e.g. use of iZone, location of documents, simple IT issues), or direct them to the appropriate person to help them
  • ensure staff understand and follow health and safety and environmental procedures to maintain safety within the company.

Other Duties:

This list of duties is not exhaustive and other tasks and responsibilities will be required of the post holder including any other duties commensurate with the post as requested by the Directors.

General Requirements:

Preferably someone with a background in live and digital event delivery who has now moved into recruitment.

Understanding of the various event delivery sectors and the nuances within them. I.e conferencing, exhibition, green field infrastructure, Government projects etc

Being able to respond quickly and understand the specific skill sets and experience required for each role is essential to ensure we retain standards throughout the project delivery.

  • Familiarity with hiring practices and stages (screening, interview, assessment, onboarding)
  • Experience using recruiting software and social networks for recruiting
  • Someone with a wide network of freelance contacts in event delivery, including, but not limited to Producers, Production Managers, Project Managers, Digital Producers
  • Ability to work independently and as part of a team
  • Strong organisational and time management skills
  • Great attention to detail
  • Outstanding communication skills
  • Problem-solving ability and solution-focussed approach to challenges

  • Excellent spoken and written communication skills.
  • Confident about gathering facts and statistics. 
  • Aware of respecting the importance of confidentiality both for the employees and the business as a whole.
  • Good organisational and problem-solving skills and the ability to work as part of a team. Excellent attention to detail in all aspects of the role.
  • Confident in using Word, Excel and Outlook.
