Work Environment

Whilst we value working alone, we are a collaborative, predominantly face to face organisation and pride ourselves on working together to bounce ideas and support our clients. We have a fantastic, creatively designed space which promotes team work at bankside in London and expect our employees to be in the office at least 60% of the time. This is why we have introduced our 3:2 working model which requires all employees to be in the office Tuesday, Wednesday and Thursdays.

 

Job Purpose

As Resource Manager you will support the Creative Services Director (CSD) and Executive Producers (EP) in the day to day workflow of the Integrated Production (IP) department. 

You will be responsible for liaising with the various stakeholders to make sure everyone knows what needs doing and how long they have to do it, ensuring everyone is updated at key parts of the project.You'll need to be able to foresee pressure points and to elevate issues before they happen by proactively managing resources.

Your relationship with the Executive Producers and their teams is key. They need to feel able to come to you with all their requirements and to trust you to manage the resource with integrity and insight. This role is not just about counting hours and assigning them to an individual, it's about understanding what's being asked for, appreciating the individual's skill set, listening to the expectations of the resource and actively managing the ongoing changes to the project needs. You will need to be respected by the whole Integrated Production team and to communicate constantly and clearly at all times.

 

Key Responsibilities

Resource Management

  • Manage the workflow of the IP department covering event, live and technical production
  • Use project management skills to advise on timelines and skill sets within the department
  • Attend weekly resource meetings to gain information on resource for the coming weeks/months and resource/plan accordingly
  • Understand the skill sets within the department and efficiently allocate resource
  • Proactively put forward alternative resource solutions to the CSD and EPs that demonstrate an alternative way to create an efficient and capable team
  • Foresee potential resource clashes and work with the EPs to resolve such issues amicably
  • Working with the whole agency to ensure resource bookings are processed in a timely manner while ensuring the effective running of the department
  • Working with the project leads to hold weekly meetings to forecast work coming into the business and by planning ahead will minimize freelance expenditure while ensuring the best production output for the Agency and it's clients
  • Be prepared to work across different resourcing systems and tools and potentially implement new ones in line with our global infrastructure and process

 

Recruitment/ Onboarding

  • Working with the Talent & Culture team to help with the recruitment process and ensuring we keep a black book of all CV’s
  • Ensure that all new starter IT requirements are managed and in place for their first day
  • Responsible for working with recruitment agencies, posting on LinkedIn, etc to brief and discover quality freelance candidates when required
  • Have knowledge of department admin and filing processes so that you can support the Executive Producers with on-boarding new hires and freelancers

Freelancers / IR35

  • Raise freelancer request forms, seeking appropriate approvals and assisting the IR35 process
  • Capacity planning working into the CSD to ensure we minimize freelance spend
  • Working with the CSD to keep the freelance tracker up to date

Your Background, Skills & Experience

  • Knowledge of delivering events, both large and small and in person and digital is essential
  • Strong project management skills
  • Minimum of multiple years agency experience working in a similar role or as a Producer in the industry
  • Excellent communication and interpersonal skills, able to explain processes clearly
  • Great attention to detail
