Job Purpose

As Creative Traffic Manager you will direct the day to day workflow of the creative and design resource for the department. You will liaise with people across the Agency to ensure resource bookings are processed in a timely manner and to traffic the work through the department to meet agreed deadlines. You will hold weekly meetings to forecast work coming into the business and by planning ahead ensure we minimise freelance expenditure while ensuring the best creative output for the department. You will be expected to build relationships across the Agency and to proactively chase briefs and arrange briefings. 

Briefs will need to be checked; turnaround times scheduled; resources assigned, and the team supported throughout the delivery. You need to be permanently on the front foot communicating with other departments and ensuring the pipeline of work goes through the department seamlessly. You will champion our processes and communicate clearly with all parties. 

You will be responsible for liaising with the various internal stakeholders to make sure everyone knows what needs doing and how long they have to do it, ensuring everyone is updated daily and that time spent is kept to the estimated amount. You will be working with Account Management and Production to hold meetings to forecast work coming into the team. 

You will be required to set up all creative check-ins and ensure everyone has up to date information on your projects and their deadlines, and that any potential risks are flagged in advance to avoid issues happening. 

You will arrange all required freelancers; sourcing the correct skill set, managing internal approvals, ensuring all requirements for the engagement are met including IR35, approving timesheets and logging POs and invoices.

Your Background, Skills & Experience

- Experience of working in the events industry or with experiential projects is preferable

- Excellent communication and interpersonal skills

- Strong understanding of software and capabilities

- Accurate administrative skills

Key Responsibilities

- Trafficking work through the department ensuring key deadlines are met and issues are flagged

- Managing the workflow of the creative department covering conceptual creative, 2D design, 3D design and motion graphics

- Managing incoming briefs and requests from the Agency into the department and overseeing the workflow to ensure deadlines are adhered to

- Using project management skills and great attention to detail to advise on timelines and skill sets

- Actively chasing briefs into the department and ensuring the briefs are correctly written with the required information

- Coordinating internal catch ups and briefing meetings for all internal stakeholders

- Keeping on top of timings and deliverables of projects at all times - department’s workload and capacity

- Attending/leading weekly resource meetings to gain information on creative resource for the coming weeks/months and planning accordingly

- Be able to obtain a quick understanding of the skill sets within the department and efficiently allocate resource and identify any skill gaps

- Proactively put forward alternative resource solutions that provide an efficient and capable team

- Foresee potential resource clashes and work with stakeholders to resolve any issues

- Capacity planning to ensure freelance spend in minimised

- Managing the freelance recruitment process and ensuring we keep a black book of all CV / portfolios

- Raise freelancer request forms, seeing appropriate approvals and assisting the IR35 process

- Maintaining resource and freelance trackers

- Raising PO’s, processing timesheets and ensuring invoices are paid in a timely manner

- Managing IT elements including software requirements for the department and working with IT to ensure we have the relevant hardware alongside the CSD and project desk planning
